“Earns 5,000 gross” – for the employee that means about PLN 3,800 take-home. For the employer – over PLN 6,000 every month, paid in total to ZUS (Polish social insurance), the tax office and the employee. The difference between those three figures is the tax wedge – one of the most important financial parameters, which every entrepreneur planning to hire must know.

In this article we show the full calculation for three pay levels (the minimum wage, the average, a higher one) under 2026 conditions – with a breakdown of every contribution and tax. The figures are approximate and may differ slightly depending on reliefs, PPK (employee capital plans) and commuting.

Gross is not everything – the anatomy of the amount

Every “gross” amount in an employment contract divides into three layers:

  1. The employee’s contributions deducted from gross (ZUS social insurance: pension, disability, sickness + health) – about 22%
  2. The PIT advance calculated on income after social insurance contributions (12% or 32%)
  3. Net pay – what is left to the employee

Separately, “on top of” the gross amount, the employer pays its own contributions – pension, disability, accident, the Labour Fund, the Solidarity Fund, the Guaranteed Employee Benefits Fund. In total about 20% of gross.

Example 1 – the 2026 minimum wage

From 1 January 2026 the minimum wage is PLN 4,806 gross (in 2025 it was PLN 4,666) – one rate for the whole year. The minimum hourly rate for contracts of mandate: PLN 31.40 gross.

Gross → the employee’s net

| Item | Amount | |---------|-------| | Gross pay | PLN 4,806.00 | | Pension contribution (9.76%) | PLN 469.07 | | Disability contribution (1.5%) | PLN 72.09 | | Sickness contribution (2.45%) | PLN 117.75 | | Total employee social insurance contributions | PLN 658.91 | | Base for the health insurance contribution | PLN 4,147.09 | | Health insurance contribution (9%) | PLN 373.24 | | Tax-deductible costs (KUP) | PLN 250.00 | | Income subject to tax | PLN 3,897.09 | | PIT advance of 12% before the tax-reducing amount | PLN 467.65 | | Tax-reducing amount (from PIT-2) | PLN 300.00 | | PIT advance to be deducted | PLN 168.00 | | Employee’s net pay | PLN 3,605.85 |

Gross → the employer’s cost

| Item | Amount | |---------|-------| | Employee’s gross pay | PLN 4,806.00 | | Employer’s pension contribution (9.76%) | PLN 469.07 | | Employer’s disability contribution (6.5%) | PLN 312.39 | | Accident insurance contribution (on average 1.67%) | PLN 80.26 | | Labour Fund (2.45%) | PLN 117.75 | | Solidarity Fund (0%) | PLN 0 (combined with the Labour Fund up to 2.45%) | | Guaranteed Employee Benefits Fund (0.1%) | PLN 4.81 | | Total employer’s contributions | PLN 984.28 | | Total cost to the employer | PLN 5,790.28 |

the average on-cost of the employer over gross pay in Poland (social insurance contributions, the Labour Fund, the Guaranteed Employee Benefits Fund)

PPK – an additional cost

If the employee is in PPK (has not opted out):

  • The employee: 2% of gross = PLN 96.12 (deducted from net)
  • The employer: 1.5% of gross = PLN 72.09 (added to the cost)

The employer’s cost with PPK: PLN 5,862.37

Example 2 – a salary of PLN 8,000 gross

A popular rate for a specialist with several years’ experience (a bookkeeper, a salesperson, a junior IT specialist).

| Item | Amount | |---------|-------| | Gross | PLN 8,000.00 | | Employee’s social insurance contributions (13.71%) | PLN 1,096.80 | | Base for the health insurance contribution | PLN 6,903.20 | | Health insurance contribution 9% | PLN 621.29 | | KUP (PLN 250) and PIT-2 | reduce the advance | | Income subject to tax | PLN 6,653.20 | | PIT advance 12% | PLN 798.38 | | Minus the PLN 300 tax-reducing amount | PLN 498.38 | | Employee’s net pay | about PLN 5,784 | | Employer’s contributions (about 20.48% with the Guaranteed Employee Benefits Fund) | about PLN 1,640 | | Employer’s cost | about PLN 9,640 |

At PLN 8,000 gross, the difference between net pay and the employer’s cost = about PLN 3,850 (48% of gross).

Example 3 – a salary of PLN 15,000 gross

A managerial post or a senior specialist. In 2026 the pension and disability contributions have an annual cap on the base: PLN 282,600, which is 30 times the forecast average salary (PLN 9,420). At PLN 15,000 gross a month the annual base is PLN 180,000, so you will not reach the cap – the cap applies only to pay above PLN 23,550 gross a month (PLN 282,600 ÷ 12).

January (before the cap)

| Item | Amount | |---------|-------| | Gross | PLN 15,000.00 | | Social insurance contributions (13.71%) | PLN 2,056.50 | | Health insurance contribution 9% | about PLN 1,165 | | Income subject to tax (minus KUP 250) | PLN 12,693.50 | | Tax 12% up to 120,000 a year | | | PIT advance | about PLN 1,223 | | Employee’s net pay | about PLN 10,556 | | Employer’s contributions | about PLN 3,075 | | Employer’s cost | about PLN 18,075 |

When the pension cap starts to apply

In this example (PLN 15,000 gross a month) the annual cap is not reached, so the pension and disability contributions are charged all year, and the employer’s cost in November is the same as in January. Only with pay above PLN 23,550 gross a month does the contribution base exceed the cap of PLN 282,600 during the year; from that month contributions are no longer charged on the excess.

Above the PLN 120,000 a year threshold

In 2026 the PIT threshold is PLN 120,000 a year. Above that income the rate rises from 12% to 32%. If the employee earns PLN 15,000 gross × 12 months = PLN 180,000, the first 9 or so months are taxed at 12% and the last 3 at 32%. The advances are then higher by about PLN 2,540 a month (32% instead of 12% on a base of about PLN 12,700).

Other costs – beyond the salary

Gross pay + the employer’s contributions is only the compulsory minimum. In practice the cost of an employee also includes:

Compulsory

  • Initial, periodic and follow-up medical examinations – PLN 50–300 / year / person
  • Health and safety training – PLN 150–500 / year / person
  • Work clothing and footwear (if the industry requires it) – PLN 200–800 / year
  • The Company Social Benefits Fund (compulsory from 50 employees counted in full-time equivalents; for 20–49 – at the request of a trade union) – about PLN 1,500 / year / person

Typical benefits

  • Private medical care (a subscription) – PLN 60–250 / month / person
  • A sports card – PLN 80–150 / month / person
  • A lunch card – up to PLN 300 / month / person (no ZUS contributions)
  • A laptop, a phone (if they do not use a private one) – one-off PLN 3,000–7,000

Equipping the workplace

  • A desk, an ergonomic chair – PLN 1,500–3,000 one-off
  • A share of the office rent (proportionally) – PLN 500–1,500 / month
  • Internet, electricity, coffee – about PLN 200 / month

As a result, the full monthly cost of an employee with a salary of PLN 5,000 gross and typical benefits is about PLN 6,800–7,200.

A calculator – a quick formula

To estimate the employer’s total cost:

Cost = gross × 1.204
       + PPK (gross × 0.015) – if active
       + benefits (about PLN 300–600)
+ equipment (depreciation about PLN 150)

Example: gross PLN 6,000.

  • 6,000 × 1.204 = PLN 7,224
  • PPK = PLN 90
  • Benefits = PLN 400
  • Total about PLN 7,714 a month per employee

A comparison with other forms

| Form | Gross PLN 5,000 / contract of mandate / B2B | Cost to the company | |-------|----------------------------------|-------------| | Employment contract | PLN 5,000 gross | about PLN 6,020 | | Contract of mandate (without other insurance) | PLN 5,000 gross | about PLN 6,020 (without the accident contribution – about PLN 5,940) | | Contract of mandate (a student under 26) | PLN 5,000 gross | PLN 5,000 | | B2B invoice | PLN 5,000 net | PLN 5,000 + VAT (you recover the VAT) |

A student on a contract of mandate and B2B are the cheapest – there are no employer’s contributions – but they are two completely different legal relationships. The details are in the article Employment contract, contract of mandate, B2B – which and when.

Summary

The cost of an employee in Poland is about 120% of gross pay – plus benefits and equipment. For the full picture you must count three layers: the employee’s contributions (from gross), the employer’s contributions (on top of gross) and other costs (examinations, health and safety, equipment). FAQ

Frequently asked questions

How much does an employee on the minimum wage cost the employer in 2026?
With a minimum wage of PLN 4,806 gross (from 1 January 2026) the employer's total cost is about PLN 5,790 a month. The employer's contributions (ZUS social insurance + the Labour Fund + the Solidarity Fund + the Guaranteed Employee Benefits Fund) are about PLN 984. The employee receives about PLN 3,606 take-home.
Does PPK count towards the cost of an employee?
Partly. The employee pays in 2% of gross from their own pay, and the employer adds 1.5% of gross as a company cost. It depends on the benefit. Private medical care and sports cards – yes, they are added to the base for the employee's contributions. Exceptions: restorative meals, and a benefits cafeteria partly financed from the Company Social Benefits Fund. The details are in the regulation of the Ministry of Labour and Social Policy (MPiPS) on ZUS contributions.
